Your information deserves care
This policy explains how Pine Creek Homes ("Pine Creek," "we," "us") collects, uses, discloses, retains, and protects personal information when you use this website, ask about a project, book a meeting, subscribe to email updates, or apply to work with us.
1 Accountability and contact
Pine Creek is responsible for personal information under its control. Privacy questions, requests to access or correct information, consent withdrawals, and complaints may be directed to Dana Chudley, Privacy Officer, using the contact details at the end of this policy.
Pine Creek will monitor this route and document privacy requests. A separate privacy mailbox may be added later, but it is not required for the consent record.
2 What we collect
Project inquiries and meetings
We may collect your name, email address, telephone number, location or property information, project interests, questions, meeting selections, and information you choose to share about a potential project.
Email updates
If you subscribe, we collect your name, email address, consent status, subscription preferences, and related consent records.
Career applications
We may collect contact details, location, work history, qualifications, availability, application answers, and resumes, portfolios, or work samples that you choose to provide.
Website and device information
Our website host and approved service providers may process limited technical information needed to deliver and secure the website, such as IP address, browser and device type, requested pages, referring page, timestamps, and diagnostic information. Non-essential analytics or advertising technologies will not be activated until Pine Creek has an appropriate consent process.
3 Why we use information
- to respond to inquiries, prepare for meetings, and manage potential projects;
- to provide requested email updates and maintain unsubscribe preferences;
- to evaluate career applications and communicate about opportunities;
- to operate, secure, troubleshoot, and improve the website and business systems;
- to meet legal, regulatory, insurance, accounting, and record-keeping obligations; and
- for another purpose that is explained when information is collected or that you otherwise authorize.
Submitting a project inquiry or career application does not subscribe you to marketing. Newsletter consent is separate and optional.
4 Consent and consent records
We seek consent in a way that is appropriate to the information and purpose. Project inquiries use a clear notice beside the form because the purpose is evident and necessary to respond. Career applications require an express acknowledgement because they may contain detailed employment information and files. Email subscriptions use a separate, affirmative subscribe action and may be withdrawn at any time.
To demonstrate consent and honour your choices, our approved systems may retain the date and time, form or page, consent wording and version, policy version, purpose or subscription type, and later withdrawal or unsubscribe activity. These records are not used to enrol you in unrelated communications.
5 When information is shared
We do not sell personal information. We may provide limited information to service providers that help us host the website, manage customer relationships, schedule meetings, send requested communications, store files, secure systems, or support business operations. They may use the information only to provide those services or as permitted by law.
Some providers may process or store information outside Manitoba or Canada, where it may be subject to the laws of that jurisdiction. Pine Creek remains responsible for using appropriate contractual and organizational safeguards.
6 Retention and deletion
We retain personal information only as long as reasonably necessary for the identified purpose, to maintain appropriate business records, or to meet legal obligations. Different records may require different periods. Pine Creek will adopt and document an internal retention schedule for inquiries, consent records, career applications, and project records before live forms are connected. Information that is no longer required will be securely deleted, destroyed, or anonymized.
7 Safeguards
We use administrative, technical, and physical safeguards appropriate to the sensitivity and amount of information. These include limited access, approved service providers, account protections, secure transmission, safe file handling, backups, and staff practices. No internet transmission or storage system is completely risk-free. We assess suspected privacy breaches, keep the records required by law, and notify affected people and regulators when legally required.
8 Your choices and rights
You may ask to access or correct personal information that Pine Creek holds about you, withdraw consent subject to legal or contractual restrictions, unsubscribe from marketing, or ask how information has been handled. We may need to verify your identity before completing a request. We will respond within the time required by applicable law and explain if a request cannot be fulfilled.
If you are not satisfied after contacting Pine Creek’s Privacy Officer, you may raise the matter with the Office of the Privacy Commissioner of Canada.
9 Cookies and similar technologies
Essential technologies may be used to deliver, secure, and remember basic website functions. Non-essential analytics, advertising, or behavioural tracking technologies will be described and offered only after an appropriate choice is available. Declining non-essential technologies will not prevent access to the core website.
10 Children
This website and Pine Creek’s services are not directed to children. Please do not submit information about a child unless it is reasonably necessary for a project discussion and you are authorized to provide it.
11 Changes to this policy
We may update this policy when our practices or legal requirements change. The current version and effective date will be posted on this page. We will provide additional notice or seek fresh consent if a material new use requires it.
12 Accessibility
You may request this policy or related information in an accessible format or with communication support at no additional cost. See our Accessibility page or contact us using the information below.
